Background & Job Description
The Administrative Officer will provide timely and accurate administrative support within the Customer Technical Services (CTS) division. The role focuses on managing customer relationships, processing quotations, compiling data, registering clients, maintaining compliance records, and assisting with operational tasks like transport and delivery of laboratory materials. The candidate will also be responsible for ensuring adherence to Necsa’s financial policies and OHS regulations while performing all duties.


Tasks

  • Compile and issue routine quotations for samples and instruments.
  • Process invoices from completed jobs for both internal and external cost recovery.
  • Prepare weekly spreadsheets showing job registrations, invoices, lab reports, and customer complaints.
  • Maintain the asset register and initiate purchase order workflows.
  • Administer customer and supplier registration, purchase orders, payments, and queries.
  • File customer service records and manage customer order assembly.
  • Assist in transportation and delivery of laboratory instruments, documents, and procured goods.
  • Perform packaging and dispatch of goods, including archiving of office records.
  • Support compliance through participation in statutory and competence training programs.
  • Conduct BBS activities and participate in asset write-offs or relocations.
  • Register customers on CRM and coordinate upfront payments.
  • Maintain cleanliness of delivery vehicles and operate them when necessary.
  • Assist with the delivery and collection of laundry, consumables, and other operational supplies.

Qualifications

  • A National Diploma in Administration or Accounting is required.

Experience

  • Minimum of 2 years’ experience in laboratory administration or support.
  • Proficient in Microsoft Excel and CRM systems.
  • Possession of a valid driver’s license is advantageous.
  • Experience with procurement systems, customer relations, and document control preferred.
