Background & Job Description

The South African Bank Note Company (SABN) is currently recruiting for a Receptionist to join their Protective Services Division on a 12-month fixed-term contract. This position is based in Pretoria, and it plays a crucial role in creating a professional front-of-house experience while offering administrative support to ensure the smooth operation of the department.

The primary purpose of this role is to manage the switchboard and reception area, attend to incoming calls, greet and direct visitors, and support various internal communication and administrative functions aligned with SABN’s compliance, safety, and internal engagement policies.


Tasks

Key responsibilities include but are not limited to the following:

  • Receiving and transferring incoming telephone calls; taking and relaying messages.
  • Making outgoing official calls as requested.
  • Greeting all visitors professionally and directing them to the appropriate personnel.
  • Preparing and arranging refreshments for guests and ensuring cleanliness in the reception area.
  • Managing safety gear distribution to visitors and ensuring compliance with SHE (Safety, Health, and Environment) induction protocols.
  • Maintaining an effective visitors’ procedure and liaising with security for compliance on restricted items (e.g., no money, cell phones, cameras).
  • Uploading and managing internal communication via the intranet and offering intranet support to employees.
  • Responding promptly to emails directed to the Communications Unit.
  • Assisting in the dissemination of internal notices and company announcements.
  • Managing the suggestion box, compiling feedback, and ensuring closure on all suggestions.
  • Keeping a visitor register for the Communication Resource Centre (CRC).
  • Cataloguing books in the Communication Centre’s library section.
  • Developing and maintaining a Hall of Fame as part of SABN’s Celebration Platform Initiative.
  • Supporting internal surveys through conducting, capturing, and analysing feedback.
  • Contributing to the compilation of SABN’s official newsletter.
  • Managing all company-wide subscriptions and publications.
  • Controlling and documenting the approval and distribution of official notices.

Qualifications

  • Matric/Grade 12 certificate (compulsory)
  • A Certificate in Administration or a related field will be advantageous.

Experience

  • 2 to 3 years of relevant experience in an administrative or receptionist role is required.
  • Proven experience in managing a busy switchboard and reception area is essential.
  • Familiarity with internal communication platforms (such as an intranet) will be beneficial.
